Iron Coast Equipment LLC ("we", "us") operates ironcoastequipment.com. This policy describes how we collect and use information.

Information We Collect

When you submit a booking request or contact form, we collect your name, email address, phone number, and any message you provide. We use this information to respond to your inquiry, coordinate your rental, and maintain customer and booking records.

Owner Call Scheduling

When you schedule a call with the owner, we collect your name, email address, phone number, optional notes, selected time, time zone, and whether you asked for one text reminder. We add your contact information and the scheduled call to our customer records so we can manage the appointment and keep a record of your request.

If you ask for a text reminder, we use your phone number to send one reminder before that appointment. Message and data rates may apply. Reply STOP to opt out.

Our scheduling service checks the connected Google Calendar for availability, creates the calendar invitation, and asks Zoom to create a unique meeting link. Google and Zoom receive the information needed to provide those services. Our communications provider receives your phone number and message details when we send a reminder.

We retain appointment records, contact details, notes, reminder choices, meeting links, and related calendar identifiers for as long as reasonably needed to manage appointments, keep business records, resolve issues, and meet legal obligations.

How We Use Your Information

We use your contact information to confirm bookings and appointments, coordinate delivery and pickup, and respond to questions. We share information with service providers only as needed to operate payments, communications, identity checks, calendars, and Zoom meetings. We do not sell your information or share it with third parties for their marketing.

Verifying a Booking

Before we hand over a machine, we check that the details on a booking are consistent with each other. That means confirming your phone number is a working line, that your email domain can receive mail, that the name and billing checks on your card match what you told us, and whether you have rented from us before. If you upload a driver's licence, we read the name, address and expiry date from it to compare against your booking.

This is identity verification, not a background check. We do not look up criminal records, credit history, or anything about your character, and we do not use consumer reporting agencies or people-search services. Nothing is decided automatically: the result is a summary for the owner, who makes any decision himself. We keep the comparison results, not the underlying licence number or date of birth.

Cookies and advertising measurement

We use essential cookies for site functions and Google Analytics 4 on public marketing and rental pages to understand visits and actions such as form submissions and completed bookings. Google Analytics may set analytics cookies and collect page, browser, device, approximate location, and interaction data. Analytics does not load on admin or partner pages, owner-call scheduling, or private payment, credit, extension and help pages.

We store campaign tags, the page that brought you here, the referring website, and available Google ad click identifiers in your browser for up to 90 days. If you inquire or book, we save that information with your customer or booking record to understand which searches and ads lead to rentals. Those business records are retained with the related inquiry or rental.

When enabled, our server sends a confirmed booking identifier, its rental value, and the existing Analytics browser and session identifiers to Google Analytics to measure completed bookings even if you close the confirmation page. Analytics can associate these events with your website visit and report them to our linked Google Ads account. We do not send your name, email, phone number, street address, messages, personal notes, licence photos or appointment details in these analytics events. If Analytics is blocked and no browser identifier is available, we do not create one for server tracking.
